Purpose limitation, user anonymization or user agreements: Since 2018, the European Union’s General Data Protection Regulation (GDPR) has created immense challenges for numerous companies. Especially high data protection guidelines are set in the banking sector. In view of high financial sanctions in the event of misuse, KfW Bankengruppe wanted to rely on proven solutions here and chose a worldwide unique tool to optimize its data protection compliant work: GDPR (DSGVO) and Security for Confluence. Together with our long-term Atlassian Solution Partner Scolution and the tool we developed, the success story began.
How "GDPR (DSGVO) and Security for Confluence" optimizes one of the world's top funding banks in a data privacy-compliant way
The challenge for KfW
KfW processes personal data of its employees which, due to the sector, are subjected to special safekeeping and deletion deadlines. Depending on the case and purpose, the author of a process must be anonymized after a period of one or two years. With more than 6700 employees worldwide, this is a very time-consuming task. Wouldn’t it be great if there was a tool that could do these tiresome tasks completely automatically in a short time?
The path to success
KfW asked itself this question and performed a market survey, including a request for proposals. The result was that the powerful Confluence software from Atlassian is ideally suited for documentation and knowledge transfer in companies. There was only one problem: data protection compliance was not included. Therefore, KfW was looking for an add-on for Confluence in this call for proposals, which would enable a data privacy compliant use according to the EU-DSGVO. This is where our Atlassian partner Scolution comes into play.
Getting further with partners
As an external service provider, Scolution advised KfW comprehensively and proposed the GDPR extension we had developed. Intensive analysis showed that only GDPR (DSGVO) and Security would make Confluence usable for KfW. No other add-on in the Atlassian Marketplace can optimize Confluence in accordance with data protection.
During individual training sessions, Scolution and KfW were taught how to use the developed features and the software. At any time, all parties were in active and communicative exchange with each other in order to develop solutions together quickly and pragmatically. Thus, the implementation of the plug-in was also a short and uncomplicated process, which helps KfW in its sustainable business.
The enriched workflow
Confluence with our GDPR add-on has been in use by KfW since May 2021. Users benefit from an incomparable added value. Only the implementation of GDPR (DSGVO) and Security for Confluence enabled KfW to process, store or delete countless data records at once according to European regulations. The handling is straightforward, intuitive and efficient.
There is still more
Because our customers’ individual requirements are our top priority, there is always room for improvement in the Atlassian family. That’s why Actonic is continuously developing the GDPR tool. The next upgrade will also enable scheduled and automatic anonymization of user data. Thus, with the improved add-on, Confluence gets even more performance and advances to an unbeatable tool, which enables data protection conform knowledge exchange.
This story could only unfold into a true success story thanks to inspiring, open and ambitious teamwork of Atlassian partners.
